Billed per minute, rounded up per session, monthly in arrears. In a video team room, minutes bill per student in the room; a voice team room bills once for its single stream. There are no platform or seat fees. Published rates are in USD. Foreign-currency conversion is handled by your card issuer or finance team. Applicable taxes depend on the billing location and are shown as appropriate at invoicing. Stop any time and you owe nothing past your last minute.

What a real course costs.
Say a course of 40 students runs one 20-minute voice session per student each week, across a 12-week term.

That is a term of weekly one-to-one tutoring for the whole cohort, at $60 per student. The same course on the video engine comes to $4,224, or $105.60 per student. A session that runs 20 minutes and 30 seconds bills as 21 minutes. All figures are USD.

Who pays?
The workspace. Whoever opens it, a lecturer, a course coordinator, a department, puts a card on file, and every course in that workspace bills to it. Students never pay and never see a price.
How does activation work?
Before any card is on file, teaching staff can run one free 12-minute voice session with Maya — one per workspace. That is a first session, not a trial period: no clock starts and nothing is charged. Saving a valid card activates the workspace, and the first invoice arrives after the first month of usage.
What exactly is a billable minute?
Session time on either engine, from the moment a student connects to the moment the session ends. Each session is rounded up to the next whole minute; a 12-minute-40-second voice session bills as 13 minutes.
Can we cap what a course can spend?
Yes. Each course can set a monthly cap in dollars or minutes. Eligible one-to-one video courses can also allocate minutes per student; team rooms remain governed by the course cap. A session already in progress is allowed to finish, and usage updates when sessions close.
Which currency is charged, and how are taxes handled?
Published rates are in US dollars (USD). If your account settles in another currency, conversion is handled by your card issuer or finance team. Applicable taxes depend on the billing location and are shown as appropriate at invoicing.
Can MindMade support institutional procurement?
Yes. If your institution needs procurement, an annual commitment, a volume arrangement, a purchase order, a security review, or negotiated terms, contact MindMade at hi@mindmade.co.
Where does our data live?
You choose at workspace creation, Sydney or the European Union. Course content, rosters, transcripts and summaries are stored in that region.
Can we leave?
Anytime. There is no contract term and no cancellation fee. Stop running sessions and the billing stops with them; your final invoice covers the minutes already used.
Where is Maya in use today?
At UNSW, in Sydney. She was built by MindMade and proven there over the last twelve months, across multiple pilots in two schools.
Who sees the data?
Camera and microphone recording waits for consent every time. Sessions are transcribed and summarised for the course’s own staff. Students can inspect their own Maya record and start an export or account-deletion request from their privacy page.
